Our onboarding process is designed to bring new customers on smoothly while reducing risk and disruption. It covers not only IT systems, but also connectivity and telecoms services, ensuring everything works together from day one.

The focus is on understanding the existing environment first, then planning any changes carefully rather than making assumptions.

Step 1: Initial Discovery and Audit

Onboarding begins with a discovery phase to understand the current setup across IT and communications. This may include:

  • Devices, users, and operating systems

  • Network and internet connectivity

  • Microsoft 365 and cloud services

  • Phone systems, VoIP, or Teams calling

  • Existing numbers, providers, and contracts

  • Security controls and access methods

This establishes a clear baseline before any services are taken on.

Step 2: Review, Risk Identification, and Planning

Using the discovery findings, a structured onboarding plan is created. This sets out:

  • Which IT and telecoms services will be supported

  • Any risks, gaps, or legacy constraints

  • Whether number porting or service migration is required

  • Agreed on priorities, timelines, and dependencies

This helps avoid unexpected disruption, particularly where voice services are business-critical.

Step 3: Controlled Transition of Services

Where changes are required, they are carried out in stages. This may include:

  • Taking over management of Microsoft 365 or devices

  • Aligning security settings with agreed standards

  • Migrating or integrating phone systems

  • Porting existing phone numbers where required

  • Coordinating changes during office moves or refurbishments

Changes are planned to minimise downtime and user impact.

Step 4: Dedicated Point of Contact

A dedicated point of contact oversees the onboarding process, acting as a single coordinator across IT and telecoms. This ensures:

  • Clear communication

  • Consistent progress tracking

  • Issues are addressed quickly

  • Dependencies between systems are managed properly

Step 5: Documentation, Testing, and Handover

Once onboarding is complete:

  • Key systems and voice services are documented

  • Number porting and call routing are verified

  • Access and responsibilities are confirmed

  • Support and escalation processes are agreed upon

This provides a stable foundation for ongoing support.

Summary

Our onboarding process is structured, deliberate, and designed to reduce risk. By auditing IT, networking, and telecoms together, then transitioning services in a controlled way, new customers are onboarded smoothly and with clear accountability.
